Dashboard Sharing
Dashboard sharing allows you to securely distribute analytical insights with colleagues and stakeholders through direct links or scheduled emails. This feature enhances collaboration while maintaining data security.

Prerequisites
Before sharing dashboards, ensure you meet these requirements:
- User permissions: You need Analyses Editor, Analyses Exporter, or higher access permissions to share dashboards.
- Dashboard compatibility: Only dashboards without Parameters can be shared through this feature.
- PII access: To share dashboards containing visible PII, you need Personal Data viewer permission.
Set up dashboard sharing
Follow these steps to start sharing your dashboard:
- Go to the dashboard you want to share.
- Click the three dots in the upper-right corner of the dashboard.
- Select the Share option from the dropdown menu.

- Choose your preferred sharing method: link sharing or email sharing.
You can create up to five different sharing groups per dashboard, allowing you to customize access levels and security settings for different audiences.

Configure link sharing
Link sharing provides view-only access to your dashboard through a secure URL. Configure these settings to control access:
Show PII
Control whether personally identifiable information appears in the shared dashboard.
- Hide PII: Visitors see asterisks ('*') instead of actual PII data.
- Show PII: Display complete data including customer identifiers. This option requires both password protection and expiration settings for security compliance.
Password protection
- Mandatory when PII data is visible to ensure sensitive information remains secure.
- Share the password through different communication channels like Slack, email, or other internal tools to maintain security.
Expiration settings
Set automatic access termination dates to maintain data control and security compliance.

Configure email sharing
Email sharing sends dashboard snapshots directly to recipients' inboxes with optional scheduled delivery.
Recipient management
Add up to five email addresses per sharing group, including external domains for third-party collaboration.
Recipients can unsubscribe using the footer link in received emails. If they want to resubscribe, a logged-in user must add them again with proper consent verification.
Schedule options
- One-time sharing: Send a single email for immediate dashboard distribution or testing purposes.
- Recurring delivery: Schedule emails on daily, weekly, or monthly intervals to provide regular updates.
Email data is calculated hourly, so recipients receive information that may be up to one hour old.
Link configuration within emails
- Include dashboard link: Add a public view-only link that behaves like standard link sharing, providing ongoing access beyond the email snapshot.
- PII handling: PII data is always hidden in email content for security reasons, regardless of your sharing group settings.
- Password protection: Enable additional security for the included dashboard link, requiring password distribution through separate channels.
Email expiration
Set termination dates for email-based sharing groups to automatically stop scheduled deliveries and disable included dashboard links.

Best practices
- Create separate sharing groups based on data sensitivity
- Use PII-visible groups for internal stakeholders only
- Regularly review and remove expired access
- Verify recipient email addresses before sharing
Limitations
- Only dashboards without Parameters supported
- Maximum five sharing groups per dashboard
- Maximum five email recipients per sharing group
- 1,000 email limit per month per project. Exceeding this limit generates error messages for new sharing attempts.
- Public dashboard previews refresh every 10 minutes, while email data updates hourly.
- Dashboard sharing requires Analyses Editor, Analyses Exporter, or higher permissions. PII visibility requires Personal Data viewer permission.
- Resubscribing recipients requires explicit consent verification and logged-in user intervention.
- Content restrictions:
- Flows and Geoanalysesdon't appear in email reports but remain visible in shared links.
- Funnel trend calculations are hidden in shared access to prevent unauthorized data queries.
- HTML blocks aren't supported in email dashboard sharing.
